Summit Recap: The Evolution of Document Management

In today’s fast-paced environment, government agencies face daily challenges to remain nimble, transparent and efficient. Managing your agency’s documents can be challenging – from piles of paper to tracking people down for signatures, document management can add time and cost to your already busy schedule.

Granicus’ recent Virtual Digital Engagement Day offered solutions for many of the challenges government agencies face. In the “Evolution of Document Management” session, facilitated by Jon Johansen, Product Manager at Granicus, and Sam Hall, State and Local Marketing Manager at Laserfiche, brought the daunting tasks of traditional document management to the forefront.

The facilitators discussed the value of implementing a secure document management workflow, which can free up valuable resources and solve many of the challenges faced by clerks and other agency employees. Johansen noted that, “Every technology decision [Granicus] makes is targeted to decreasing that workload and allow staff to become more efficient.”

Granicus offers solutions to improve efficiency, transparency and effectiveness. With Granicus’ solutions, documents are created and indexed in the system, allowing for easy access, electronic signatures eliminate the need to chase down signers and documents can be signed from any device, document versions are easily controlled and maintained, and documents are easily accessed online at any time, eliminating duplication. And with the partnership of Granicus and Laserfiche, attachments can be securely stored.

These solutions streamline the document management process and allow for government agencies to operate more efficiently and cut costs. Potential savings sources include tens of thousands of dollars in paper and money and time saved by eliminating the need to print hundreds of pieces of paper for meetings, assemble paper agenda packets and hand delivery agenda packets to meeting participants. In fact, the city of Milwaukee, Wisconsin saved nearly 200 trees and $3.67 million by implementing a digital document management system.
